The implementation of a new business management system is a complex task and Bizpro use the following project flow to ensure it runs smoothly and has minimal disruption to your business:

 

Project Scoping

Before starting with the project your lead implementation consultant will run a scoping session with you where you will discuss many facets of your business in detail and have these documented. This information is mapped to process flows and guides our consultants in setting up the software to match your processes. This process will also identify any potential gaps in the solution or issues that may extend the estimated implementation times. By getting these items identified early in the process and gaps can be addressed and there will be no surprises in the costs.

 

Trial Conversion

After completing the scoping your data will be converted into your chosen system and used for all your training. This step also allows you to check and test the data conversion and identify any areas that may require refinement for the Live conversion.

 

Server Install of software and Configuration of workstations

At this time we will install your solution on your server and configure all workstations to access the software. By completing this early we can identify any potential IT issues that may arise and also ensure that once you have completed your training on a particular topic the training system is available for staff to practice their skills.

 

Database Configuration Settings and Form Design

After the scoping and trial conversion the system will be pre configured to suit your requirements. The information gathered in the scoping will allow the implementer to configure all the correct options and work flows to suit. Your business printed forms will be customised in this stage and samples will be available throughout the project to review and fine tune.

 

Training

Once the system is configured sufficiently we will begin your training. This is conducted onsite and broken up into modules specific to different roles or processes. These training sessions are staggered allowing staff to practice in between sessions as much as possible to ensure the new processes are absorbed. Full documentation is provided for each topic which will be available for future reference.

 

System Go-Live

On the chosen go live date we will re-convert your most up to date information from your old system and prepare the re-converted database for go-live. On go live we check all key system balances to ensure the conversion was accurate and then remain onsite (usually for a full day or more as required) to hand hold staff with their first live transactions. Our support team and data conversion expert will be available on this key day as well to ensure any last minute “issues” are resolved immediately.

 

1St Month End Processing Support

On the first month end after go-live we will return again to step you through your first “month-end” processing. This will cover the process of printing financial reports, reconciliation, and “rollover” of the system. At this time we can also review and other queries you may have and finish the project.
